Job Summary
The California Operations Manager (COM) supports sales operations by performing authorized administrative and transactional functions under the guidance and supervision of a licensed real estate broker. This role focuses on operational coordination, document workflow, scheduling, and compliance support. While unlicensed, COMs are strictly prohibited from engaging in any activity that requires a real estate license, including negotiation, solicitation, or discussions about pricing or financing.
Essential Job Responsibilities
Administrative & Operations Support
Manage and approve associate timekeeping; assist with associate scheduling
Meetings & Motivation:
Conduct motivational meetings and support daily/recurring meeting logistics (agendas, attendance, materials)
Goal Support:
Provide administrative support for associate goal-setting activities (tracking inputs, updating dashboards, distributing materials)
General Administration:
Perform additional approved administrative duties as assigned by a licensed leader; maintain professionalism and adherence to company policies and guidelines at all times
Collaboration:
Partner with site leadership and training teams to coordinate logistics for initial and ongoing training (scheduling, materials, room setup), without delivering sales content
Compliance & Recordkeeping
Follow all directives of the supervising broker and adhere to company policies and applicable California real estate regulations
Maintain accurate records, file management, and audit-ready documentation for all assigned transactions and administrative processes
Transaction Support (under broker supervision)
Document Preparation:
Prepare and complete transaction-related documents and instruments, ensuring all final materials are reviewed and approved by the supervising broker before delivery to any principal or party
Document Handling & Delivery:
Deliver, mail, pick up, or coordinate delivery of transaction documents and obtain required signatures from principals or service providers
Note: COMs may not explain, interpret, or discuss the content, meaning, or implications of any document
Trust Funds Processing:
Accept, record, and provide receipts for trust funds received from principals or parties to the transaction in accordance with policy
Status Communication:
Provide factual updates regarding the timing of reports, service completion, and delivery of transaction-related information
Scheduling & Coordination:
Schedule meetings between licensees and principals/parties to the transaction. When delegated by a broker-authorized licensee, arrange for third-party reports and services
Boundaries & Prohibited Activities
The COM role does not:
Negotiate or discuss pricing or financing options
Solicit participation in a specific transaction or product
Narrow a tour’s decision-making toward pricing or ownership levels
Explain, interpret, or advise on the content or significance of any document
Conduct group sales presentations
Issue sales compliance related corrective actions or conduct performance evaluations for licensed sales associates
Travel Requirements
Travel not anticipated beyond home site
Minimum Requirements and Qualifications
Education: High School Diploma or equivalent required
Experience: Prior experience in sales operations leadership and/or a real-estate–adjacent leadership role
Skills: Strong organization and attention to detail; clear, professional
communication; scheduling and coordination; comfort with document workflows and standard productivity tools. Strong relationship building, coaching and ability to successfully partner with all divisions.

Compensation
The annual salary for this role is $170,000.
