The primary responsibility of the Project Coordinator is to partner with the Project Director(s) in the planning, executing and integration of new development projects, products and/or new business entities. The coordinator will support cross-departmental strategic projects and initiatives with high impact on organizational efficiencies and bottom-line impacts from start to finish. This role will work closely with many internal and external business partners to bring a product to market including research, development, system support, branding, training, communication, and the overall integration.
The Project Coordinator will demonstrate support by completing the following duties, up to, but not limited to: monitoring and tracking project timelines, preparing weekly and monthly status reports and presentations, organizing project activities, collateral development, and provide additional support as deemed necessary to the Directors for successful completion of a project. Coordination also entails creating and proofing drafts of materials. The Project Coordinator will track key decisions and action items to report development activities to the project team and senior leadership to ensure timely completion. This person will also develop best practices to optimize product development procedures and make recommendations throughout the process to the Directors. Project Coordinator will maintain databases and other intranet systems to monitor and track project development. This position should demonstrate excellent interpersonal skills as this candidate will need to coordinate project activities, facilitate meetings to large audiences and communicate both verbally and in writing with all levels of the organization.
How You'll Shine:
Develop Project Business Plans: Coordinate and communicate to the team the activities associated with the development, rollout, fulfillment, servicing, and tracking of project deliverables, schedules, milestones, action items, status reports and presentations.
Project Monitoring and Controlling: Monitor, track and create reports for all project activities, including action items, project milestones and deliverables. (20% time)
Project Communication: Prepare project status reports by collecting, analyzing, and summarizing information, milestones, and project trends. Develop and update project timelines.
Support the team by developing best practices to optimize development procedures, ad hoc reporting as needed, assist with project strategies, and make recommendations.
Create and maintain one or more databases, including intranet management for each project. Maintain, document, and archive projects, reports, and data.
What You'll Bring:
BS or BA degree
PMP Certification preferred but not required
Previous experience managing multiple projects
Demonstrated ability to work well under pressure and meet deadlines
Ability to interact with various business partners at all levels in the organization
Ability to be flexible with change and adapt to changes within projects
Willingness to be a team player in a diverse work group, yet operate independently as required while exercising discretion and independent judgment
Motivation to learn, demonstrated organizational skills and attention to detail
Demonstrates accuracy and thoroughness in work to ensure quality
Written and verbal communication skills to execute timely and effective communication
Demonstrates strong critical thinking skills
Demonstrated networking skills to build appropriate relationships throughout a broad organization
Proven ability to effectively handle multiple tasks in various stages of completion
Solicit feedback, develop project strategies, and proactively manage tasks with a sense of urgency to keep projects on task
Build collaborative relationships and effectively communicate to achieve team goals
Prioritize responsibilities, manage time efficiently, and step in for leadership when needed
Ability to travel if necessary
Ability to work flexible hours if necessary
Intermediate knowledge of MS Office including PowerPoint, Excel, Visio & Outlook
1-3 years of project management, administrative, or customer service experience
Experience equivalent to the education requirement may be accepted in lieu of the education requirement.
