PRINCIPAL RESPONSIBILITIES: (Include but not limited to:)

Office Duties

  • Provide project and administration support to the Senior Manager Projects & Design and Property Development Team.
  • Communicate with both internal and external stakeholders, attend the companies meetings
  • Provide updates to key stakeholders in line with the team communication plan

Contract Administration

  • Maintain and issue property/FF&E/Plant & Equipment related purchase orders, contracts and invoices for all Resorts, Sales offices in Birchstreet
  • Administration of new users and security/access for Birchstreet
  • Monthly reconciliations of all current projects for finance and Birchstreet
  • Maintain cost codes, projects, contracts and invoices,
  • Setting up reporting and forms in Birchstreet
  • Recording Site Issues and maintenance of associated correspondence.
  • Follow up on contracts sent for signature via workflow
  • Follow up of warranties, insurance, signatures & payments from contractors,
  • Maintain & follow up on project RFI, Variations & outstanding documents as required
  • Maintain drawings registers
  • Update & Maintain monthly forecasts for developer projects

General Administration & Software Programs

  • Maintain electronic files with updated resort/project team information
  • Project filing
  • Assist with the development and maintenance of department policies and procedures,
  • Prepare user templates
  • Assist with resort information
  • Collate upcoming resort refurbishment information
  • Maintaining an internal Resort construction and refurbishment photo library,
  • Prepare schedule of finishes and FF&E for project manager to send out to tender
  • Any other tasks as reasonably directed by the Senior Manager Projects and Design
  • Birchstreet Software Program – provide updates and training to team members when required

Other

  • Employees must ensure they comply with WVRAP’s OH&S Policy, procedures and any reasonable instruction given by WVRAP.\
  • Employees must not wilfully place at risk the health and safety of themselves or any other persons in the workplace and to not wilfully or recklessly interfere with or misuse anything provided for health and safety.

KEY POSITION CRITERIA:

  • Contract Administration experience in the Property or Facilities Industry,
  • Advanced MS Office including Word, Excel, PowerPoint, MS Project & Outlook,
  • An eye for detail
  • Ability to communicate with all levels of staff and management,
  • Excellent oral and written communications skills,
  • An efficient individual with strong listening and interpersonal skills,
  • Excellent time management skills and ability to multi-task and prioritise work load,
  • Demonstrates ability to be flexible,
  • Understands the importance of confidentiality,
  • Ability to develop and maintain good working relationship,
  • Ability to work autonomously and as part of a team,
  • A team player who will contribute to a positive work environment.
