PRINCIPAL RESPONSIBILITIES: (Include but not limited to:)

  • Support the Senior Leadership team focused on Field Marketing Programs in all operational and administrative functions.
  • Administer the payroll reporting and approval process – check and approve timesheets.
  • Set appointments as communicated by the CMP team (bookings/tours) if another Admin isn’t available (BHD/VENDOR).
  • Assist in the execution and optimization of the scheduler tool, ensuring proper allocation of presentation times across all tour generation departments.
  • Regularly communicate booking availability to all required parties and adjust tour slots as per the Site Scheduler.
  • Create and provide reports highlighting Field Marketing/CMP performance.
  • Provision of administrative assistance to Sales Programs areas as requested.
  • Provide excellent service to guests from pre-arrival to the full guest journey.
  • Implement pre-arrival procedures per SOP, recording in the system and coordinating special inquiries with relevant departments.
  • Act as the first point of contact for Minivac guests, addressing inquiries about the program and the resort.
  • Ensure Minivac guests have a smooth and exceptional experience at the resort by coordinating with the resort team for accommodation, transfers, special arrangements, and complaint resolution.
  • Empowered to offer gifts and compensation for service recovery.
  • Review daily arrival lists and assist in preparing/distributing welcome gifts per SOP.
  • Ensure guests are booked into appropriate showcase dates and times and that tour attendance is maximized.
  • Work closely with business partners and vendors to arrange transfers for Minivac, CMP guests, and in-house guests as needed.
  • Respond promptly to guest inquiries and assist with their needs, including providing professional food & beverage services upon arrival and/or during tours.
  • Collaborate with the Wyndham Sales team to ensure guests attend showcases at agreed dates and times.
  • Maintain a friendly, cheerful, and courteous demeanor at all times.

 KEY POSITION CRITERIA:

  • Exceptional telephone manner that is professional, friendly and clear.
  • Committed to provide excellent customer service at all times.
  • Be detailed, accurate and thorough.
  • Possess a positive, can do attitude with the ability to self motivate.
  • Ability to learn and use scripts.
  • Ability to learn and use objection handling.
  • Skilled in controlling a phone conversation. 
  • Intermediate MS Office skills, particularly Microsoft Excel
  • Ability to work in a fast paced environment
  • Ability to meet time frames and performance standards
  • Ability to manage multiple tasks and be able to think laterally when problem solving
  • Good time management skills
  • Working knowledge of internal systems such as Qantel & BIRD
