The Rental Operations Specialist supports the day-to-day operations, administration, and financial functions of the Global Rental Operations (GRO) Business Unit. This role prepares, executes, and maintains group contracts within the global rental business. Responsibilities include managing room blocks, processing deposits and final payments, coordinating with clients and resorts, managing rooming lists, and ensuring a seamless check-in process. The role also involves managing multiple distribution email boxes, assisting with leads, handling ad hoc projects, and participating in organizational initiatives. The Specialist will act as a liaison between the client, property, GRO Yield, GRO Operations, and GRO Sales. This role is hybrid in office Monday, Tuesday and Wednesday, and remote Thursday and Friday.

How You'll Shine:

  • Liaise between clients, property teams, GRO Yield, Operations, and Sales, managing group room blocks from start to finish.

  • Manage room block changes, ensuring system updates and communication with all parties.

  • Serve as primary contact for group attendees, addressing questions and coordinating vendor services like catering and transportation.

  • Track key dates (contracts, deposits, cut-offs) and work with accounting to ensure timely payments and resolve discrepancies.

  • Enter rooming lists, provide confirmations, and send group resumes to properties for smooth check-ins.

  • Maintain accurate records in systems such as iHotelier, RCC, Opera, and FOCUS.

  • Prepare discount links and manage Direct Bill groups with accounting as needed.

  • Build and maintain strong client relationships through regular follow-ups and issue resolution.

  • Prepare and facilitate group contracts via AdobeSign and provide group pick-up reports on request.

  • Support month-end reporting, commission requests, vendor forms, and assist with cross-departmental projects and initiatives.

  • Provide support for ad hoc opportunities that arise, ensuring flexibility and adaptability in handling various tasks.

What You'll Bring:

  • High school diploma or equivalent required; college education preferred.

  • Travel industry experience preferred, especially in group and meeting management.

  • Effective relationship-building and communication skills.

  • Excellent customer service skills.

  • Experience with contracting processes preferred.

  • Proficiency in Microsoft Word, Excel, and PowerPoint required; intermediate skills preferred.

  • Knowledge of property management and booking systems such as iHotelier, RCC, FOCUS, and Opera preferred.

  • Experience using AdobeSign for contract management preferred.

  • 1–2 years of experience working in the travel industry or related group/meeting environments is a plus.

Experience equivalent to the education requirement may be accepted in lieu of the education requirement.
