PRINCIPAL RESPONSIBILITIES: (Include but not limited to:)

Finance Department – 2.5 days

  • Performing general accounts payable tasks such as utilities consumption tracking, cheques and other month end deliverables as assigned.
  • Working with the Accounts Payable team including birchstreet approvals and setting up finance team bank transfers in the banks.
  • Managing banking relationships with the various banks including preparation of documentation to open/close bank accounts and merchant facilities, and the maintenance of users/signatories.
  • Create and update records and databases including the banking and archive registers as required.
  • Carrying out clerical duties including office correspondence, memos, presentations and cheques.
  • Perform additional tasks as requested from time to time

  • Ensure that all reasonable directions given with regards to health and safety are followed, to not willfully place at risk the health and safety of yourself or any person in the workplace and to not willfully or recklessly interfere with or misuse anything provided for health and safety.
  • Display a Count On Me! service to all internal and external parties. 
  • Display innovation through inspiring, creating and improving processes and products. 

IT Department – 2.5 days

  • Manage all the telephone & mobile bills for WVRAP, including Corporate office, sales sites and all non-WorldMark properties, which involves checking & approving services are correct before coding & processing the bills for payments. Also highlight any extrodinary traffic.
  • Generate telephone reports as required by Finance and/or other departments.
  • Manage all the WVRAP domains (websites), including new purchases, renewals & cancellations, and organize SSL certificates as required by the Development Team & the business for specific domains.
  • Liaise with WVRAP Finance for asset transfers & disposals.
  • Manage the collection and safe disposal of computer hardware for recycling.
  • Maintain a loan equipment register which includes laptop, mobile phones, wireless cards & portable projectors. This register is available to the Service Desk to maintain as well.
  • Maintain a software license register to keep track of licenses purchased and its designated users and record license movements.
  • Maintain a mobile phone register with Finance & Procurement to track mobile services allocation, excluding handsets purchases, ensuring that the services are correctly allocated to the individual department.
  • Liaise with the provider for mobile phone purchases, repairs & billing queries.
  • Complete the IT department timesheet fortnightly, recording the overtime accrued by all the Service Desk & Infrastructure engineers, and promptly submit to Payroll for processing.
  • Complete & submit the monthly credit card expenses in Concur for the Director of IT.
  • Complete & submit the monthly accruals for IT by the due date as set by Finance.
  • Update the internal phone directory on intranet, to reflect new starters & staff movements, new sales sites & resorts acquired.
  • Manage the Papercut system (for printing) by allocating every staff to their correct department code and generate reports for billing purposes.
  • Maintain company organization charts on intranet.

KEY POSITION CRITERIA:

  • Proven experience as an finance/office administrator
  • Familiarity with office management procedures and basic accounting principles
  • Multi-tasking and time-management skills, with the ability to prioritize tasks to meet tight deadlines.
  • Attention to detail and accuracy
  • Diploma or certificate in office administration
  • Above average excel skills
  • Excellent written and verbal communication skills including the ability to build relationships with key stakeholders across all levels of the business
  • Team player with a desire to continuously improve processes with the ability to also work autonomously
