Essential Job Functions

Responsibilities include, but are not limited to:

Responsibility #1

Supervise all aspects of administration staff to ensure tasks are being performed accurately and expediently. Schedule work hours to have complete coverage of all work areas. Train and provide consistent performance evaluations to all staff members. Hire and terminate employees or particular weight is given to the Supervisor’s recommendation to hire and terminate employees. (20% time)

Responsibility #2

Ensures compliance with all Contract Standards/Business Rules and enforce all requirements of WVO's Standard Operating Procedures, PCI and PII policies. Implements and ensures tight internal controls are followed for the protection of the associates and company assets. Proactive partnering with sales, marketing and regional leaders to continuously analyze, and assess the development of current and new procedures. Collaborate to ensure all processes and regulations are followed. (20% time)

Responsibility #3

Assist with check in of touring guests, processing of contract documents, and dispersing of premiums if needed. May communicate, review, validate and approve month end close process including complete quarterly audits. (15% time)

Responsibility #4

Process new hire documents for all sales, marketing and administration associates and forward to HR contact timely. Maintain copies for personnel files at sales office and enforce wage and hour policies. (15% time)

Responsibility #5

Perform various accounting functions to including coding of invoices, new vendor set up, control summary workbook, sales overhead variance analysis, travel and expense reports, and cash fund(s) reconciliations. (15% time)

Responsibility #6

May review commission payroll for accuracy. Notify appropriate departments at the Regional Office or Corporate Office of any discrepancies. Assist sales representatives with any commission or bonus errors. (15% time)

Performs other duties as needed

Travel Requirements

Minimal travel may be required for training or summit purposes. (5%)

Minimum Requirements and Qualifications

a) Education

  • HS Diploma/GED

b) Knowledge and skills

  • Great customer service, communication and interpersonal skills
  • Great organizational skills
  • Detail oriented, accurate and thorough
  • Solution oriented
  • Thorough understanding of WVO Standard Operating Procedures
  • Must thoroughly understand contract standards and/or business rules

c) Technical Skills

  • Intermediate proficiency in Microsoft Word, Microsoft Outlook, Microsoft Excel, Salepoint, Journey
  • Computer Skills Required

d) Job experience

  • One year prior management or supervisory experience
  • One year experience with contract standards and collateral documents
  • One year prior real estate/mortgage/banking experience (preferred)
  • Experience in process flow management (preferred)

Complexity

a) Level of decision making authority

  • Supervisor has independent authority to make decisions and will perform certain actions of the Director/Manager Sales Administration, if the Director/Manager is not available.

b) Level of autonomy

  • Supervisor has discretion in day-to-day operations.
  • High level of autonomy in absence of Director/Manager.

c) The impact of his/her decision on the organization

  • Successful departmental operations maximize sales potential.
  • Failure to ensure adherence to department procedures and controls can have negative financial impact (sales potential, tour cost, commission distribution).

d) Supervisory responsibility:

  • This position will supervise 2+ full-time direct reports.

e) Scope/Financial Responsibility

  • Responsible for all daily aspects of the business. Accountable to meet Wyndham Consumer Finance Scorecard metrics, Accounting Deliverables, adhere to SOP Guidelines and maintain site expenditures within defined budgetary requirements. Inefficiencies in this role can affect securitization of documents, delays in payroll, bottom line and profit margins.

Organizational Relationships

  • Director/Manager of Business Operations is the main point of contact for the Supervisor. Each will be in contact at a minimum of 3 days out of the week in order to facilitate business Operations/Administration.
  • Director of Sales is the secondary point of contact. Each will be in contact at a minimum of 5 days out of the week. Out of those 5 days, 3 of which the Supervisor is the primary contact for the Director of Sales.
  • Marketing Manager is also a secondary point of contact. Each will be in contact at a minimum of 5 days out of the week. Out of those 5 days, 3 of which the Supervisor is the primary contact for the Marketing Manager.
