The Risk Management & Insurance Coordinator supports the VP Risk Management and provides high-level administrative support to their team. This individual will have frequent interface with T+L Senior Executives. The incumbent will proactively perform recurring office functions such as maintaining files, coordinating certificates of insurance, coordinating projects, assisting with invoice processing, making travel arrangements, and preparing travel expense reports along with managing calendars and meeting schedules.  Responsibilities include the following:

Responsibilities include, but are not limited to:

  • Prepare risk management documents/instruments to include requests Surety Bonds, Certificates of Insurance, and other insurance policy related coordination.

  • Perform recurring office functions such as maintaining files (including SharePoint sites, Box, and network files), answering phones, managing department website content, maintaining calendars and other administrative duties as required.  Order and maintain supplies for Risk Management teams, coordinate personnel equipment and office/work space moves.  Obtain signature authority from Company officers for various documents.  Support onboarding of new personnel.

  • Support administration of invoice processing and other financial transactions such as check requests and wire transfers with proper general ledger coding as directed.

  • Manage and distribute inbound/outbound department mail including express and international mail services.

  • Schedule internal/external insurance meetings along with reserving executive suite conference rooms, visitor badging, and escorting visitors.

  • Book travel arrangements and process expense reimbursements.

  • Process one-time workers compensation payments including setting up new vendor accounts.

Minimum Requirements and Qualifications

Education

  • Bachelor's degree preferred or equivalent work experience

Knowledge and skills

  • Ability to work with minimal supervision and interface effectively at all levels within the organization while protecting and maintaining confidentiality

  • Ability to assess priorities and manage multiple administrative tasks

  • Self-motivated team player with excellent interpersonal skills

  • Proficiency in business and travel expense system (Concur or similar)

  • Experience in planning and providing logistical support for meetings and events

  • Effective networking skills to be able to find solutions to wide range of issues

  • Experience supporting treasury, finance, insurance, or banking organizations

  • Notary Public (preferred)

Technical Skills

  • Proficiency utilizing Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).

Job experience

  • 2+ years of Risk Management or related professional experience (i.e., Finance, Accounting, Legal, etc.)

Experience equivalent to the education requirement may be accepted in lieu of the education requirement.
