The Rental Distribution Specialist is responsible for supporting the day to day operations, administration, and financial functions of the Extra Holidays Business Unit (a team of Associates, Managers, Directors and Vice President responsible for generating rental revenue). Responsibilities will also include displaying and executing the Count on Me behaviors of a Wyndham employee which consist of being responsive, respectful, and delivering a great experience.

Job Responsibilities

Process all invoices and expenses for the department                                     

  • Key contact for financial team in NJ for invoicing

  • Prepare expense reporting for Vice President

  • Field all account payable inquires internally and with vendors

  • Prepare, code and process

Contract / Licensing                                                                                                   

  • Scan and distribute all group agreements, rental contracts, corporate vendor agreements in conjunction with working with vendor or legal contacts

  • Prepare necessary paperwork to acquire checks for property licenses working with license department

Organize and maintain office outings, monthly celebrations, team tickets

  • Yearly Wish Day/Charitable Event

  • Yearly Team Building Event

  • Hospitality training for team with local attractions

  • Monthly events with inventory management team

Administrative functions                                                                                            

  • Liaise with IT department in acquiring computers, monitors, phones, headsets, scanners for the team and coordinate returns

  • Manage office supply order purchases

  • Handle all incoming requests and inquiries from a variety of internal and external sources

  • Manage Certificate Distribution for Customer Satisfaction, Marketing  Sweepstakes, Charities, Resort requests and Call Center Contest

  • Maintain and update Organizational Chart, Outlook Distribution Lists, Call Tree, Phone Contact Lists

  • Assist management team with HR related inquiries, preparation and movement of job descriptions

  • Assist in travel for Vice President and Director of Operations and other department personnel or employment candidates

  • Assist in movement of collateral to resorts for meetings/ presentations

  • Maintain meeting invites for reoccurring meetings

  • Distribute agendas and meeting notes in conjunction with internal staff meetings

  • Assist in purchasing collateral for events thru company store

  • Order meal for meetings, work with catering vendors

  • Order gifts, florals and trophies

  • Key contact for facilities related issues

  • Coordinate and administer conference calls, meetings and scheduled appointments for the team

  • Order team business cards, stationery and collateral

  • Organize birthday celebrations and team lunches

Minimum Requirements and Qualifications

  • H.S. diploma or equivalent, college preferred

  • Two years professional office experience assisting a Vice President or above

  • Strong verbal and written communication skills

  • Ability to multi-task

  • Accurate and expedient proofreading ability

  • Ability to work independently

  • Ability to maintain confidentiality

  • Must type 55 wpm

  • PC Proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint)

  • Knowledge of Visio

Unless there is a legal requirement, experience will be accepted for the education requirement.
