PRIMARY OBJECTIVES:

The Office Administrator is responsible for assisting with all Office Administration related duties within the Singapore office. Actively contribute to the company vision of making holiday dreams come true by providing efficient, effective and professional support to the Singapore Office and additional support where required to any visiting team members.

We are looking for a positive and driven individual who has high customer service standards and excellent attention to detail.

PRINCIPAL RESPONSIBILITIES: (Include but not limited to:)

  • Serve as a first point of contact for staff and guests, and field questions by greeting, welcoming, directing and announcing appropriately
  • Maintain a good relationship with vendors, service/delivery personnel and building management team
  • Responsible for all general office equipment, supplies and stationery
  • Answer, screen and forward any income phone calls and messages as necessary
  • Assisting with collating, and arranging for signing of official documentation
  • Manage all incoming and outgoing mails, parcels; local & international
  • Servicing meetings with beverages as required
  • Meeting organization, including room bookings and catering arrangements for meetings.
  • Assisting to Maintain Organizational Charts for our Asia team members.
  • Co-ordination of some external events, meetings and communication.
  • Provide a high level of service and liaison both internally and externally
  • Assistance in administrative initiatives and upholding procedures ensuring compliance with office policies
  • Process & track payment for all invoices
  • Any other duties as and when assigned
  • Lead by example in both professional and personal conduct.
  • Employees must not willfully place at risk the health and safety of themselves or any other persons in the workplace and to not willfully or recklessly interfere with or misuse anything provided for health and safety. 
  • Display innovation through inspiring, creating and improving processes and products. 

KEY POSITION CRITERIA:

  • Relevant experience in office administration
  • Hands on experience with office machines and equipment
  • Strong customer service skills and customer focused approach to day to day work
  • Excellent time management skills and ability to multi-task
  • Attention to detail and problem solving skills
  • Strong written and verbal communication skills
  • Strong organizational skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements
  • Display a friendly and personable demeanour and be professionally presented
  • Have strong customer service and work ethic
  • Have outstanding interpersonal, telephone and communication skills
  • Be a team player who will contribute to a positive work environment.
  • High school degree, addition qualification as an administrative assistant or secretary will be a plus
  • Additional language skills are not mandatory but preferred
