Under the direction and supervision of the Facilities Manager, the Facilities Assistant serves as a liaison between internal associates, business partners and the corporate facilities team in performing a variety of maintenance, custodial and support duties to ensure the upkeep and continued operations of the facility while conforming to corporate standards, policies and procedures. This position assists in ensuring the cleanliness, safety, and operational efficiency of the corporate work environment, and performs a variety of routine and repair maintenance for building facilities; and ensures that facilities are available for use and consistently maintained in a safe and clean condition. Areas of responsibility include, but are not limited to, carpentry, painting, plumbing, and electrical work. Operates a variety of maintenance and cleaning tools and equipment, and office equipment; and performs related work as required, with a high level of customer service.

Responsibilities include, but are not limited to:

  • Responsible for completing all facilities requests, including the initiation and execution of external work orders, including within FM Systems (keys, office supplies, copier/fax toner replacement, etc.).
  • Performs a variety of routine and general maintenance and repairs, including but not limited to general repairs, (e.g., carpentry, painting, plumbing, and electrical work), trash disposal, light bulb replacement, ceiling tile replacement, painting, cleaning of office equipment, repairs in break/coffee rooms, conference rooms, restrooms, etc. and custodial duties throughout facility as required.
  • Ensures that facilities are available for use and consistently maintained in a safe and clean condition.
  • Assembles, repairs, maintains, and moves furniture, such as desks, cabinets, tables, chairs, shelves, and related fittings and fixtures, including office and modular cubicle reconfigurations and repairs.
  • Conducts routine inspections of spaces; identifies and reports more complex maintenance needs to Facilities Manager.
  • Inspects facilities and grounds for safety and security; identifies and reports hazardous conditions and facility maintenance needs to Facility Manager.
  • Follows safe working practices and makes appropriate use of related safety equipment as required.
  • Performs custodial tasks as required.
  • Assists with structural pest control measures.
  • Maintains records and logs of daily activities through FM Systems platform, and through manual means, and produces weekly reports of all activities,
  • Assists with department and company special events, as needed.
  • Escorts vendors who need access to perform work at request of Facilities Manager.
  • Contacts and schedules repair vendors at request of Facilities Manager.
  • Assists Facilities Manager by monitoring security of office and visitor access.
  • Assists with processing of business mail to include shipping, receiving, delivery, UPS, mail sorting, mail metering, and managing of personal mail, in the absence of mail staff.
  • Performs related duties as assigned.
  • Performs additional duties as assigned.

Minimum Requirements and Qualifications

Education and Experience:

  • High School Diploma or GED;
  • Minimum one (1) year of relevant work experience providing customer service support in a corporate environment Office services or general maintenance skills and experience with hand tools
  • Experience with modular office furniture Experience with office machines
  • Any combination of training, education, and experience that would provide the required knowledge, skills, and abilities.

Knowledge of:

  • Methods and techniques used in the operation, repair, and maintenance of facilities and equipment.
  • Operational characteristics of a variety of tools and equipment.
  • Occupational hazards and standard safety practices.
  • Principles and practices of record-keeping.
  • Principles and practices for providing high level of customer service.
  • Modern office practices, methods, and computer equipment and applications.
  • MS Office to include Outlook, UPS/Campus Ship, Mail Metering, Mail Tracking System, Work Order Systems

Ability to:

  • Perform semi-skilled facility maintenance.
  • Safely and effectively use, operate, and maintain equipment and tools.
  • Perform heavy manual labor.
  • Understand, interpret, and apply all pertinent laws, codes, regulations, policies, and procedures.
  • Independently organize work, set priorities, meet deadlines, and follow up on assignments.
  • Demonstrate strong customer service skills and establish, maintain, and foster positive and effective working relationships.
  • Maintain records and files on work performed.
  • Effectively to communicate in person, over the telephone, and in writing.

Licenses and Certifications:

  • Must possess a valid state driver’s license and required insurance
