Key Responsibilities:

  • Greet visitors, clients, colleagues and guests in a professional and courteous manner, ensuring a positive first impression as the face of the corporate office.
  • Answer incoming calls, take messages, and respond to email inquiries promptly and professionally.
  • Coordinate meeting schedules, room bookings, and support internal teams with organizing meetings or events.
  • Manage office supplies, ensuring that all essential items (stationery, equipment, kitchen supplies) are fully stocked and ordering as needed.
  • Maintain a tidy and welcoming reception area, ensuring it meets the professional standards of the office.
  • Oversee the upkeep of office cleanliness and safety, coordinating with the cleaning staff to maintain hygiene standards and address any facility issues.
  • Monitor and ensure that all office equipment (computers, phones, printers, etc.) are functioning properly. Coordinate repairs or troubleshooting efforts with the relevant departments or external vendors when issues arise.
  • Maintain an organized office environment, ensuring spaces are well-maintained, tidy, and conducive to a productive work environment.
  • Build and maintain positive relationships with suppliers, service providers, and vendors, ensuring that all office-related services (e.g., maintenance, office supplies, cleaning, etc.) run smoothly.
  • Negotiate contracts and manage service agreements to ensure the best value and quality of services.
  • Address any supplier or vendor-related issues and resolve them promptly, maintaining excellent working relationships with external partners.
  • Provide administrative support to various corporate teams, including managing calendars, scheduling appointments, and handling ad hoc administrative tasks as needed.
  • Assist with organizing office events, employee activities, or team-building exercises to foster a positive corporate culture.
  • Help troubleshoot and resolve office-related issues by collaborating with relevant departments to address any challenges in a timely and efficient manner.
  • Act as the first point of contact for all incoming calls and emails, ensuring queries are answered promptly or redirected to the appropriate person or department.
  • Troubleshoot minor office equipment or technical issues and escalate more complex problems to relevant departments or IT support.
  • Ensure clear and effective communication with both internal teams and external parties, fostering a professional and cohesive work environment.

Requirements:

  • 1-2 years of experience in office administration, receptionist, or office coordinator roles.
  • Strong organizational skills, with the ability to manage multiple tasks and priorities.
  • Excellent communication skills, both verbal and written, some English skills are preferred, and Bahasa Indonesia is required.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and basic office software.
  • Ability to work independently, take initiative, and solve problems as they arise.
  • Professional and approachable demeanor, with a customer service-focused mindset.
  • Knowledge of basic office maintenance and troubleshooting procedures.
  • Strong interpersonal skills to effectively manage relationships with vendors, suppliers, and internal teams.
  • Experience in managing supplier or vendor relationships.
  • Previous experience in a corporate or hospitality office environment.
  • Basic understanding of office equipment maintenance and troubleshooting.
  • Ability to handle confidential information and maintain a high level of professionalism.
