Position Description:  The Marketing Admin Coordinator is responsible for reporting all In-house Marketing and Vendor data in a timely and accurate manner. It is the responsibility of the Marketing Admin Coordinator to provide sites with tours that are qualified, informed and have an overall positive impression of Wyndham. As a Marketing Admin Coordinator, your primary responsibilities will be to communicate and resolve all issues while maintaining a high level of professionalism and satisfaction. You will also be required to qualify and book tours in the tour system (Journey).

  • Provide Marketing team with daily and weekly arrivals reports from the front desk system.  Assist with the assignment of arrivals on a daily basis.
  • Research upcoming arrivals for accountability and correction on reservation codes to reflect appropriate guest type.  Provide requested data/owner sheets to Sales and Marketing.
  • Maintain a daily and weekly tour manifest noting date and time of provided tour slots. Distribute the information to Tour Reception, Sales and Marketing Leadership onsite.
  • Ensure all reported arrivals and tours are accurate.  Monitor Focus (RCC) and Journey match up on a daily basis. This includes clean-up of any outstanding pending tours, dispositioning, canceling of tours, and submission of change requests to corporate support team when necessary.    
  • Communicate and partner with Tour Reception to ensure accurate tour status.                                                                                    
  • Complete TM file by deadline on a weekly basis. The TM file is used to determine Marketing Coordinator’s pay and accuracy is imperative. Complete and submit payroll commission sheets for all Marketing Coordinators with Leadership approval.
  • Inbound Customer Service, Research and Resolution
  • Outbound Confirmations
  • Provide tour information to sites (FOC, Qualifications, Preferences, etc)
  • System and Process Updates to Reflect Status of Travelers (Journey, Manifest)
  • Support new program initiatives to service customer issues as they arrive

Minimum Requirements and Qualifications:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are a representative of the knowledge, skills, and/or abilities necessary to perform these duties successfully.

  • High School Diploma or GED Required
  • Microsoft Office, Word and Excel experience required
  • Journey and Focus experience preferred
  • Exceptional listener with great communication skills
  • Demonstrated ability to work under pressure and meet deadlines
  • Must have the ability to be persuasive and informative with excellent problem solving and customer service skills
  • Must be well spoken and professional in demeanor
  • Must be friendly, self-motivated, detailed oriented and able to work independently
  • Must be able to work flexible shifts to include weekdays, evenings and weekends to suit business needs.
  • Ability to use a computer and efficiently read/type and talk simultaneously
  • Ability to multi-task
  • Minimum of 6 months customer service, reservations or equivalent experience required.
  • Extensive knowledge of Microsoft programs including Word, Excel and Outlook
  • Knowledgeable of payroll procedures with an understanding of basic accounting
  • Must be able to work independently and interact with other departments within the company
  • Knowledge of Wyndham’s computer operating systems is preferred
