We are looking for an experienced Global Brands Coordinator, who will be responsible for providing comprehensive support to the SVP of Global Brands. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. The Global Brands Coordinator is responsible for organizing and planning Senior Vice President (SVP) calendar and keeping the SVP and global brand leaders informed and aligned. The Global Brands Coordinator include: Collaborating with Global Brand Leaders to determine and prioritize business strategies; Managing the SVP’s schedule, scheduling meetings and planning travel; Providing department leaders with recommendations and consultation to improve teamwork; Planning, coordinating and keeping contents of a meeting focused; Supporting the SVP in determining key performance indicators and how to measure team performance; and other administrative support to the SVP. This position exercises independent judgment necessary to carry out the directives of the SVP and also work with senior business leadership of the company.

Responsibilities include, but are not limited to:

  • Complete a broad variety of administrative tasks that facilitate the SVP’s ability to effectively lead the organization, including: assisting with special projects; designing and producing complex presentations, documents, and reports; collecting and preparing information for meetings with internal stakeholders and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.

  • Serve as liaison between global brand teams, executives, senior leadership team, and the SVP regarding company climate, employee well-being, project updates, proposals, and planning.

  • Provide sophisticated calendar management. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.

  • Act as a liaison and provide support to Brand Managers. Arrange and handle all logistics for meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes. 

  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the SVP, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect SVP’s style and organization policy.

  • Act as a "barometer," having a sense for the issues taking place in the environment and keeping the SVP updated. Anticipate SVP’s needs in advance of meetings, conferences, etc.

  • Maintain open communications with Brand Directors, Creative Studio and various stakeholders within the organization. 

  • Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the SVP and staff, demonstrating leadership to maintain credibility, trust, and support with the Senior Leadership Team.

  • Evaluate and assist in developing office policies and procedures for improved workflow and anticipate future needs as organization grows.

  • Assist in the selection of vendors and purchase equipment, services, and supplies necessary for operation of Global Brands.

  • Support the Global Brands team with management of information systems operations including hardware, software, desktop support, internal telecommunications, and strategic systems development and planning.

  • Manage the on-site Brand Store at corporate head office.

  • Provide hospitality to all guests and help to create a welcoming environment.

  • Other projects/duties as assigned for the overall benefit of the organization.

Travel Requirements

The Global Brands Coordinator may be required to travel up to 0-25% as determined by SVP of Global Brands.

Minimum Requirements and Qualifications

Education

  • Bachelor’s Degree in Marketing, Communications, Brands and/or Organizational Behavior, or equivalent.

Knowledge and skills

  • Comprehension of global brands, product knowledge and budgeting process is highly desirable.

  • Ability to read, listen and communicate effectively in writing, using correct grammar, spelling and sentence structure.

  • Ability to effectively deal with internal and external customers, some of whom will require high level of patience, tact and diplomacy.

  • Provide accurate, timely data to management, and maintain proper paper trails.

  • Should be able to take control of various situations independently as they arise. 

  • Must be able to express authority and see that duties are carried out properly. 

  • Need to be able to work independently, motivate others and meet deadlines. 

  • Must be objective by evaluating situations vs. reacting.

  • Must be very organized, able to multi-task and able to effectively manage time.

  • Must be able to work with others and communicate effectively to all levels, including executive.

  • Must be professional and possess a high level of confidentiality.

  • Must be able to work independently and with minimal supervision.

Technical Skills

  • Must be proficient (at least 5 years experience) in Microsoft Word, Excel, PowerPoint and Outlook. 

  • Must be competent at building and merging Excel spreadsheets and workbooks.

Job experience

  • 3-5 years’ experience in administration and/brand and marketing arena, supporting senior executives will be preferred.
