Job Summary/Description:
This position is responsible for supporting the sales effort by assisting in generating revenue and increasing the retention of sales while staying in compliance with all Company Policies, Business Rules and Government Requirements, and in a manner which results in satisfied owners.
Specific duties include but are not limited to:
Supervise all aspects of Contracts Operations to ensure tasks are being performed accurately and expediently.
Provides assistance such as technical guidance and training. May lead project teams and supervise assignments.
With guidance of their manager, executes on promotion, advancement, corrective action and termination.
Plans and monitors appropriate staffing levels, timekeeping and overtime.
Provide consistent performance evaluations to all staff members
Hire, train and supervise contract staff on all contract types and contract standards
Maintain full working knowledge of department applications; Journey, Oracle, Salepoint, Navigator, Payment Gateway
Report on team metrics to evaluate department performance in productivity and quality
Data entry and validation between sales reporting on a daily/weekly/monthly basis
Maintain department inventory
Ensures compliance with all Contract Standards/Business Rules and enforce all requirements of WVO's Standard Operating Procedures, PCI and PII policies. Implements and ensures tight internal controls are followed for the protection of the associates and company assets. Proactive partnering with sales, marketing and regional leaders to continuously analyze, and assess the development of current and new procedures. Collaborate to ensure all processes and regulations are followed.
Assist with check in of touring guests, processing of contract documents, and dispersing of premiums if needed. May communicate, review, validate and approve month end close process including complete quarterly audits.
Process new hire documents for all sales, marketing and Operations associates and forward to HR contact timely. Maintain copies for personnel files at sales office and enforce wage and hour policies.
May review commission payroll for accuracy. Notify appropriate departments at the Regional Office or Corporate Office of any discrepancies. Assist sales representatives with any commission or bonus errors.
Ensuring that all information (proprietary, guest, applicant, etc.) is maintained with the highest level of confidentiality.
Will act as a backup resource to support any function as required
Minimum Qualifications:
High School diploma or equivalent. Bachelor’s degree preferred.
A minimum of two years' supervisory experience in a fast-paced work environment.
Excellent planning and organizational skills and ability to multi-task effectively.
Demonstrated interpersonal and communication skills and ability to negotiate effectively with all employees and general public.
Must show initiative, self-motivation, and attention to detail with the ability to manage multiple projects with competing priorities.
Thorough knowledge of standard administrative processes and working knowledge of Microsoft Office.
Requires basic knowledge of math; ability to calculate percentages, discounts, and/or commissions
Knowledge of the following applications: Kronos, DocuSign, Salesforce; Microsoft Teams
Must be able to work flexible hours and weekends; which may be long during busy season
Must possess effecting coping skills to deal with stress in a dynamic and ever changing environment.
Ability to walk, talk, sit and stand for long periods.
Ability to lift approximately 15-20 lbs.
