SummaryThis position has the responsibility of providing guidance and support to our Resort Managers in the management of Wyndham Vacation Resorts' Client Association Boards and providing Association Governance services for all Client Associations within the assigned Region as they may exist from time to time.Performs work in compliance with established procedures and/or protocols.  This includes ensuring compliance with governing documents and state and local statutes as well as WVR directives in the operations of timeshare and condominium regimes; maintenance of the database established to house all of the governing documents, contracts, agreements and licenses for each Client Association; ensure accurate, timely and consistent communication with Board and Association Members of all reporting requirements as required by law and developed by the Resort
Operations department from time to time, while promoting and maintaining the WVR brand image; the continuous development and training of the Association Governance programs for Resort Leaders and Client Board Members in an effort to provide added value to Client Associations with an emphasis on facilitating memorable vacation experiences.  Works on assignments that are complex in nature where independent action and a high degree of initiative are required in resolving problems and developing recommendations.Essential Job Functions

  • 25% - Review and editing of all Association correspondence - including, but not limited to, meeting notices, meeting minutes, Board Books and Quarterly Board Reports
  • 25% - Work with Resort Leaders and staff to maintain
    current, accurate database of all Association information - Board contact info; Association contracts, licenses, permits; Meeting Dates and Timelines
  • 25% - Monitor and maintain a working knowledge of all governing documents and statutory regulations for condominium and timeshare developments and associations within the region
  • 15% - Track and report on a quarterly basis compliance with documents, statutes and WVR directives for the region
  • 5% - Participate in the ongoing development, coordination, training and coaching of all Board and Association Governance programs for Resort Leaders and Client Board Members
  • 5% - Coordinate with corporate and site personnel, the timely resolution of all business issues
    relating to the Association Boards and ensure all such issues are followed up on in a timely manner.

  • Continuous maintenance of the data base and software programs created for the storage of all Client Association meeting dates, agreements, contracts, and licenses and the mailing of meeting notices.
  • Continuous maintenance of the quarterly compliance report.

  • Review of all Board and Annual Meeting materials, meeting minutes, and ensure the process established for the timely distribution of the same is being followed.
  • Supervise and occasionally facilitate Board and Association communications.
  • Occasionally facilitate the ongoing training of Association Governance programs for Resort Leaders and
    Client Board Members.

Scope/Financial Responsibility

  • Monitoring and supervision of Association Governance Compliance for apx. 40 property owners association
  • Driving for Association Governance compliance with Resort Management

Travel RequirementsThe position of Association Governance Administrator requires a minimum amount of travel (5%) to attend Association Board and Membership Meetings as required, to facilitate regional training of Resort Leaders and Client Boards, and to present, observe or otherwise participate in Regional Resort Operations Meetings.Competencies

  • Attention to Detail, tracking and
    follow-up
  • Basic understanding of Association Documents, State Statues and industry practices relating to Association Governance
  • Advanced Communication Skills - writing, public speaking, one-on-one high level communications (i.e., Board President; Vice President; Resort Manager)
  • Building Trust and credibility with fellow Association Governance Team Members, Corporate Resort Operations, Corporate Internal Partners, Regional Resort Management, Resort Management and Client Boards of Directors.

Minimum Requirements and Qualifications

  • Paralegal Degree or Certificate
  • Three (3) years related business experience in real estate and the hospitality industry with preference in the timeshare industry.
  • Three (3) years of demonstrated responsibility in administrative
    experience.
  • Experience with homeowner association legal documents, governance, and applicable statutory requirements.
  • Track record of success in collaboration and communication.
  • Effective rapport-building and relationship management skills.
  • Compelling verbal, written, and presentation skills.
  • Fluency in all Microsoft Office applications.
  • Periodic travel required.

Preferred Qualifications:

  • Four (4) year college degree.
  • FL CAM License or CMCA certification.
  • Active hospitality support roll in timeshare, resort and condominium management.
  • Experience serving on timeshare, condominium and/or homeowners association boards.
  • Experienced in national scale corporate philosophies and
    communications.
