The HR Operations Specialist I responsible for performing a variety of Human Resource administrative support duties and processes.  Primary Verification of Employment and Workers Compensation Wage verification process specialist. 

Essential Job Responsibilities

Verification of Employment

  • Process and complete received Verification of Employment request from external entity regarding current and former associates
  • Research and calculate various details regarding employment and wage history
  • Partner with Associate Service Center and external companies
  • Ensure requested documentation is returned to appropriate requestor timely
  • Update AnswerKey HR System with details regarding the request
  • Close out cases once all necessary steps are completed

Liberty Mutual Wage Verification

  • Process and complete received Wage Verification request from Liberty Mutual adjuster(s)
  • Research and calculate wage detail regarding employment and wage history
  • Research ongoing request from claim adjuster.  Provide additional details as requested
  • Upload any supporting correspondence and documentation as needed and received
  • Close out cases once all necessary steps are completed

Termination Letters

  • Run daily termination report
  • Filter prior day terminated associates
  • Prepare standard separation and sales separation letter
  • Determine impacted associates requiring state termination documents
  • Prepare group and individual email notices
  • Separate and prepare individuals with no email addresses and send letters via USPS
  • Respond to all correspondence of impacted associates from the designated UE Term Admin mailbox

Leave of Absence Letters – California and Washington

  • Receive weekly Leave of Absence report
  • Filter California and Washington state impacted associate
  • Send out notification as appropriate

Assist with Document Management

  • Sort boxes that are received from sites, determine course of action and monitors daily volume
  • Ensure timeliness of scanning and prompt attention to all received documents
  • Sort by document type for barcoding, organize and prepare documents for scanning into virtual file room tool
  • Audit all scanned documents and resolve any uploading or assignment issues

Perform other duties as needed

Minimum Requirements and Qualifications

Education

  • Requires a high School Diploma or equivalent (G.E.D)

Knowledge and skills                                                                                              

  • Employee must have strong organizational and attention to detail skills

  • Ability to work in a professional manner with highly confidential documents and information.

  • Ability to multitask and shift priorities quickly

  • Consistently produces high quality work

  • Builds and maintains effective working relationships among different functional groups

  • Consistently exhibits a positive attitude when dealing with internal partners

  • Takes responsibility for decisions made within authority

Technical Skills

  • Must have strong working knowledge of computer systems, e.g. Workd Excel, Outlook, and database management systems (Workday)

  • Ability to work with multiple applications simultaneously.

Job experience

  • Must have 1-2 years of Human Resources administrative experience

  • Customer service experience

Experience equivalent to the education requirement may be accepted in lieu of the education requirement.
